Processing Alternatives (PAL) - Reviews for Cash and Basic Food Recertifications

Purpose: This category contains instructions for processing cases when ACES must be modified to ensure correct benefits are issued. Use these processing alternative processes when there is a system error or when a policy change is effective before ACES has been programmed to correctly handle the case. Reducing Face to Face Eligibility Reviews

The purpose of this processing alternative is to allow users the ability to delete tentatively scheduled eligibility review appointments when they meet the interview criteria (when to use an alternate type of interview, other than an in-office interview).  See WAC 388-452-0005 .

Background Information:

 

  • ACES will begin scheduling "Tentatively Scheduled Appointments" the last three working days of the month.

  • ACES may or may not schedule appointments during the first three working days of the month in which the review is due, depending on whether or not the scheduling parameters set for your CSO allow appointments to be set on those days.

  • After the first three working days, appointments are scheduled for approximately 12 working days in the month the review is due.

  • The day after an appointment is tentatively scheduled, the user will receive Alert 219 - ER / Recert Tentatively Scheduled for AU, Check Schd.

  • Users will have from the day the appointment is tentatively scheduled through the end of the day in which the appointment letters are sent, to delete the tentatively scheduled appointment.


NOTE: The date the letters are sent can be found in the Important ACES Dates calendar in aces.online Support Central.

Generally, users have anywhere from 5 to 10 days from the day the appointments are tentatively scheduled to delete the client's appointment prior to the letter being sent.


To delete a tentatively scheduled ER / Recert appointment for an AU:
  1. From the Alerts screen, enter [Y] next to Alert 219 and press <F15>

  2. (MISC) displays.

  3. Document the case action in the (REMARKS) behind the (MISC)  prior to deleting the appointment.

  4. Enter a [Y] in the Del field to delete the tentatively scheduled appointment and press <F24> to confirm the deletion. You will then be immediately returned to the Alerts screen.

  5. Disposition the alert.

  6. Go to aces.online and generate letter 0022-01, Mail-In ER for Cash / Food/Medical (Non-LTC), to notify the client they are required to send in a review.

The DSHS 14-078 Eligibility Review form will automatically be sent with letter 0022-01 letter. You can also attach the DSHS 114-13, Client Rights and Responsibilities.

All cash AU’s that do not have a review initiated will close at Monthly Issuance / Deadline and all Basic Food AU’s with reviews due will also close if a review is not completed, regardless of whether one was initiated or not.  See Eligibility Review / Recertification Process.
